NEEDED: French speaking Receptionist/Admin needed in DT Chicago!

This candidate will assume all responsibilities related to the main reception area. In addition to performing a range of clerical and other tasks which require mature judgement and a high degree of autonomy, the person will greet visitors, forward all calls to their proper destination, process office mail/distribute incoming material, provide general assistance to office staff, etc. He/She will also serve as a Administrative Assistant to the small office.

Super Organized, Resourceful and Computer Savvy (word, excel and powerpoint)

They have events such as Fashion shows and tradeshows.

Genereal Duties

1. Reception
-Receive/direct all incoming telephone calls
-Greet/direct office visitors
-Answer general inquiries from vistors and personnel
-Receive, separate, distribute incoming mail and other materials to office personnel
-When required, provide clerical support to office staff, which may include data entry, mass mailings, and filing.
-Make travel arrangements and hotel reservations for official visitors
-Assist in the preparation and organization of annual office events (send invitations/track RSVP's, coordinate catering, event decoration, etc.)
Participate in other scheduled team activities (missions, speaking tours, visiting artists, etc.)
Create Spreadsheets, word documents, mail merges, data-base entries as required.

2. Administrative Assistant
-Assist in preparing/supporting all aspects of the activities organized during the year
-Help to prepare and distribute the monthly newsletter
-Assist in identifying the most strategic partners in the cultural, academic and government sectors
-Help to prepare presentations
-Give presentations
-Help to promote company throughout the Midwest
-Cooperate in the development of a social/professional network through Facebook
-Assist in creating and distributing reports/materials
-Particiapate fully in the conception/organization/execution of all activities undertaken in this area
-Help to establish and maintain a data base of people and events

Skills.
FLUENCY IN ENGLISH AND FRENCH (written and Oral)
Excellent communications skills
Undergraduate degree in a relevant discipline
Minimum of three years experience working in an office environment
A high degree of professionalism and autonomy
Ability to meet deadlines and multitask
Rigorous self-discipline and a high degree of self motivation
Ability to work with diverse groups of people in both languages.
